Position Purpose The purpose of this position is to provide excellent customer care to our Vetco Total Care hospital clients. The Concierge represents the mission and values to all customers and is typically the first and last person a client encounters when entering our hospital. The Concierge fosters cohesion and motivation within the practice. Essential Job Functions Assume primary responsibility for answering the practice phone and routing calls appropriately. Maintain hospital appointment calendar including scheduling and reviewing online bookings. Greet all visitors and clients by name; notify technical staff when they arrive; monitor wait times and assist during peak times or emergencies. Participate in training of new staff and general knowledge dissemination as required. Ensure waiting area is clean and well-stocked, including disinfection as needed. Confirm all appointments by the client’s preferred method (phone, email, text) the prior day and adjust as needed. Provide backup support to technical staff for room loading or patient discharge when primary staff are occupied. Other Duties and Responsibilities Perform additional duties as assigned. Nature of Supervision Hospital Concierge reports to the Hospital Office Manager and Hospital Leader on Duty. Planning and Problem Solving Ensure efficient hospital operations and an optimal patient/client experience. Maintain scheduling so that appointment durations are appropriate given the number of pets and patient status, and communicate with clients when delays occur. The Concierge may be the first or last contact with upset clients and should balance compassion with practicality to support the medical staff’s focus on care. Impact This position contributes to the growth of a productive practice and ensures the first and last impressions of our facility are positive. Supervisory Responsibility This position has no immediate supervisory duties. Education/Experience High school diploma is required. At least 1 year of experience in a veterinary practice or a customer-facing role. Excellent written and verbal communication skills. Compassionate, professional demeanor under emotional or stressful situations. Exceptional telephone and computer skills. Team player willing to learn, contribute ideas, and adapt to change. Preferred: Experience using a Practice Management System. Competencies Completed by Total Rewards Department. Work Environment Position located in a Vetco Total Care full-service veterinary hospital. May involve bending, kneeling, lifting up to 30 pounds, and standing for long periods. Significant time is spent in direct contact with clients and their pets.
