Summary of Responsibilities

The Enrollment and Marketing Associate provides personalized assistance through appointments, phone calls, and emails, ensuring each family is welcomed and supported throughout the enrollment process. This individual will play a crucial role in ensuring equitable access to education by managing the online student enrollment system, researching enrollment trends, and guiding families through the overall enrollment process. This individual will help craft messaging for the District's website, social media, and family outreach materials, ensuring information is accurate, accessible, and culturally responsive. This role also supports marketing and outreach efforts to increase awareness of enrollment opportunities and improve family engagement across diverse communities. This position will report to the Executive Director of Communications and work jointly with the Welcome Team, including the Communications Senior Specialist, District Receptionist, and Enrollment Associate.

Duties and Responsibilities

  • Serve as a primary contact person for prospective families and assist with online registrations, walk-ins, and appointments.
  • Ensure that all requirements are met efficiently and accurately, prioritizing equity and access for every student.
  • Adapt to the dynamic needs of the Welcome Center, always prioritizing racial equity and support for all district families.
  • Partner with the Executive Director of Communications to develop and implement marketing and outreach strategies to promote the school district.
  • Utilize multiple racial perspectives while researching enrollment trends to inform the recruitment and retention strategies of students and families.
  • Develop and utilize exit surveys and other tools to assess reasons why families stay/depart the district.
  • Monitor digital analytics to assess the effectiveness of marketing and outreach efforts and identify trends in engagement.
  • Collaborate with district staff to ensure student enrollment is fully processed.
  • Provide support in updating the website to ensure families have accurate and up-to-date information.
  • Support the annual kindergarten registration process and school sites in preparation for events associated with enrollment and registration.
  • Write short stories for the website and social media, showing why families should enroll
  • Create and maintain a record-keeping system for tracking in and out of district enrollment, monitoring, and addressing disparities.
  • Maintain information on census areas and attendance location of resident students and provide data to other departments as necessary.
  • Respond to requests for information from staff and the public, ensuring data practices and school board policies are followed.
  • Facilitate open enrollment processes and coordinate with other school districts as needed regarding student enrollment and determine the residency of students.
  • Seek strategies to ensure the continuous improvement of the operation of the Welcome Center to meet the needs of district families.
  • Perform other duties as necessary.
Knowledge, Skills & Abilities
  • Strong skills in customer service.
  • Demonstrated oral and written communication skills.
  • Spanish or Somali language is strongly preferred.
  • Ability to maintain confidentiality.
  • Knowledge and experience working with diverse socio-economic and ethnic groups.
  • Experience with Beyond Diversity/Courageous Conversations.
  • Experience with FinalSite and PowerSchool.
  • Understanding of enrollment processes and procedures.
  • Ability to establish and maintain effective working relationships with employees, supervisors, department heads, and District administrators.
  • Experience in the application and use of relational databases, spreadsheets, or other applications in merging, compiling, and summarizing data in reports/tables/charts/graphs.
  • Demonstrated skills in planning, prioritizing, and organizing tasks and functions.
  • Ability to perform work assignments and responsibilities independently with minimal supervision.
  • Attention to detail, precision, and accuracy (e.g., data collection, verification, and data entry).

EDUCATION and/or EXPERIENCE
  • High School Diploma or GED required. Associates (AA) Degree in business, communications, marketing, or related field preferred.
  • Minimum of three (3) years' experience working with database maintenance, customer service or office management.
  • Human Resources has discretion to substitute education for related experience.
  • Bilingual Spanish/English or Somali/English language skills are desirable.
