Job Description

Administrative Assistant

The primary responsibilities for this role will include, but are not limited to:

  • Performs various administrative, organizational, financial, operational, and project related activities in support of senior and executive level staff.
  • Provides advanced support to senior executives by regularly handling confidential information and providing advanced administrative support.
  • Coordinates phone calls and direct calls to the right stakeholders.
  • Help prepare for meetings and accurately record minutes from the meetings.
  • Provides real-time scheduling support by booking appointments and preventing conflicts.
  • Manages calendars, travel arrangements and expense reporting for one or more executives or managers.
  • Collects data and conducts data analysis to prepare documents for review and presentation by boards of directors, committees, and executives.
  • Manages databases.
  • Collaborate with administrative and/or operational staff to exchange data and information that enables budget planning and expense control.
  • Build administrative community, provides learning and training opportunities for other administrative support staff.

Qualifications:

Minimum Qualifications:

  • Associate degree or equivalent.
  • 5+ years of administrative, office support, or coordinator experience supporting individuals or teams.
  • Proficiency with common office productivity tools (e.g., calendar management, email, word processing, spreadsheets, and presentation software).

Preferred Qualifications:

  • Bachelor's degree in business administration, communications, or a related field.
  • 7+ years of experience in an administrative assistant or executive support role.
  • Experience supporting managers, senior leaders, or cross-functional teams in a corporate environment.
  • Experience coordinating meetings, events, travel arrangements, and expense reporting.
  • Strong organizational skills with attention to detail and follow-through on action items.
  • Familiarity with internal systems, processes, or enterprise tools used for scheduling, reporting, or document management.

Annual Salary Range for jobs which could be performed in the US: $67,050.00-94,660.00 USD (Hourly Role)The range displayed on this job posting reflects the minimum and maximum target compensation for the position across all US locations. Within the range, individual pay is determined by work location and additional factors, including job-related skills, experience, and relevant education or training.
